PT Operations Assistant Manager

SUMMARY:

Supervises and coordinates building operations for late afternoon, evening and weekend events and building services. Acts as the primary contact for visitors, vendors, other Union teams, and event organizers. Maintains facility functionality and appearance, contributing to a clean, safe, and comfortable environment. Supervises and develops the building’s operations and custodial staff for cleaning, event support, and customer service.


IN THIS ROLE, YOU WILL:

  • Act as the primary point of contact at times, as well as the escalating point of contact, for greeting, problem-solving, and otherwise assisting building visitors, event organizers, building tenants, operations and other union staff, vendors, the KU community, and the public. -Communicate Union policies and procedures to ensure a safe and engaging experience for building visitors.
  • Supervise the evening and weekend part-time operations staff. Supports operations and custodial director, managers and supervisors in associated recruitment, retention, scheduling, and training.
  • Oversee, coordinates, and executes meeting room table, chair and equipment setups as described in the event management database
  • Provide audio-video and lighting support, monitoring/running equipment during events, and troubleshooting equipment and digital systems for setups and during events
  • Oversee and executes custodial duties including the following: a) vacuum carpets and sweep hard floors, b) wipe down tabletops and other surfaces, c) restock consumables and cleaning counters, sinks, mirrors and toilets in restrooms, d) pulling trash, and e) shovel snow/apply ice melt for visitor safety.
  • Oversee and executes closing procedures and other safety and security protocols on evenings and weekends.

ADDITIONAL RESPONSIBILITIES:

  • Attends team, departmental and organizational meetings as required.
  • Use event management database, MS Teams, and staff scheduling app
  • Contribute to daily building reports when working
  • Carry building duty phone when working
  • Unlock and lock the building for opening and closing shifts respectively
  • Provide initial response and ongoing assistance as needed for emergency and critical incidents
  • Maintains an organized, clean, and professional working environment, while coordinating operations staff to do the same.
  • Other duties as assigned.

REQUIREMENTS:

  • Effective communication skills for in-person, online, and phone conversations, as well as written exchanges on various digital platforms
  • Comfort speaking with and assisting many and varied people – individuals to large groups, children to seniors, KU community members as well as the public; this also includes occasionally confronting disruptive visitors (or calling for supervisors or public safety officers when safety is a concern)
  • Ability to work as the solo staff person
  • Ability to prioritize multiple tasks and to trouble-shoot unique or unforeseen problems
  • Ability to recruit, train, coordinate, direct and develop staff
  • Effective organizational skills
  • Ability to work a flexible schedule, including evenings and weekends
  • Must be able to lift 40+ lbs. and spend most of the shift standing and walking (4-8 hours)
  • Exemplary performance as a KUMU custodian, Building Manager II or III, or past supervisory experience with customer service, events or custodial

THE BEST CANDIDATES WILL HAVE:

  • Experience with programs, events, customer service, custodial
  • Experience with audio-video equipment
  • Familiarity with the University of Kansas
  • Student status at the University of Kansas
